Collection ProcessCarolina Accounts Control, Inc. provides structured collection phone calls and quality collection letters that adhere to the requirements of the Fair Debt Collection Practices Act (FDCPA) and state regulations. Our collection process involves mailing collection letters on a regular basis until the account is completely paid or settled in full.
The initial collection letter is mailed requesting payment in full. The Operations Manager sends out additional collection letters for any accounts that have not established regular payment arrangements. When a phone number is provided, every effort is made to contact the debtor. Telephone contact usually occurs after the initial collection letter has been mailed. If a patient cannot be located, our collectors have access to a variety of skip tracing tools to locate the debtor as quickly as possible. We always pursue payment in full, however if it is determined that the debt cannot be paid in full, our collectors have been trained to individually review the debtor’s financial situation and to offer and arrange appropriate payment options. If this approach is used, our collectors are always professional and produce results. Our company is built upon unwavering professionalism and customer service. Payment letters are mailed on a regular basis for several months, or until the account is paid in full. All accounts with payment plans arranged are periodically reviewed and if the debtor’s financial situation improves, plans are upgraded accordingly. If our collectors determine that an account cannot be collected, the account is forwarded to account review to ensure that all collection techniques have been exhausted. If the review supports the collector’s determination, you may decide whether the account balance is sufficient to be sent to an attorney in order to initiate litigation. When payment arrangements are absent, other courses of action are initiated. These may include reporting to the credit bureaus, transferring the account to another collector, and or forwarding the account to an attorney. Permission for reporting to credit bureaus or sending accounts to attorneys must be obtained from you, the client. Once we have received your permission for legal proceedings, letters will be prepared on an attorney’s letterhead and sent to the debtor. These tactics increase our recovery rate from debtors who have the ability to pay but need extra incentive of legal action to pay their debts. |
